MS Teams for Education News item

From Monday, 4 December, every student and staff member will see a new option in their Office 365 account called Teams. This will be particularly useful for schools that extensively use Office 365 tools such as OneNote, Word and Excel. OneNote Class Notebooks are built straight into the Teams app and this will likely be the central hub of Teams for many classrooms. Here, teachers can add scaffolds and students can contribute their ideas and work into the Collaboration Spaces and their own sections. Teachers will also be able to select what type of Team to build - Classes, Staff Members and even Professional Learning Communities between schools. As well as operating via the browser, there is a free Teams app for Apple iPad. More details and links to learning resources are in the Teams rollup at our Office 365 support page. Recommended browsers for Teams for Education are Internet Explorer 11 and Chrome.

eT4L Primary server refresh News item

As of the end of November, we completed the delivery of over 800 new eT4L servers to all primary schools and SSPs in the Macquarie Park and Ultimo education areas. This week, the final 60 schools will have their servers installed by Dell. The next stage of the Primary server refresh is data migration from the old to new server. To date this has been completed in over 100 schools. A further 300 schools are scheduled for migration over the school holidays with the remainder completed during term 1, 2018. Planning is also underway for the delivery, installation and migration process at all primary schools and SSPs in the Tamworth and Wagga Wagga education areas during 2018. Our thanks go to all schools involved as well as the local schools ICT support teams who assisted with this important task.

ChromeOS v62 for Chromebooks News item

Since ITD launched its Chromebook Enrolment facility in early term 3 this year, over 8,600 school Chromebooks have been enrolled into the DoE Google domain. Following the recent successful upgrade of all enrolled Chromebooks to ChromeOS v60, we are now planning for the release of v62. Along with important security updates, this version brings new enhancements to the app launcher, file manager and better support for touchscreens. As with v60, once we have made the update available in early 2018, each Chromebook will automatically download the update from Google and then install it. This occurs in the background with no impact on the use of the Chromebook. A restart will be required to complete the installation. Beyond v62, ITD plans to only release even-numbered updates to enrolled Chromebooks.

OS update limiting over Xmas Information item

In our previous issue, we advised that from 15 November, OS update blocks were removed and replaced with OS update limiting. This is to ensure internet bandwidth is not being excessively consumed by iOS and Windows updates during school hours, while still allowing some updating of unmanaged devices to occur. This has been an effective strategy which will continue in 2018. The limit is lifted outside school hours (before 9am and after 3pm), and all day when school is not operating - weekends, public holidays, school vacations and scheduled school development days. To assist schools with their device management planning, limiting will be lifted from 3pm on 15 December and reinstated from 9am on 30 January 2018.

Leave these ON over Summer Tip item

Turning off ICT infrastructure over the holiday period can stop important software upgrades and antivirus and security updates.  It is strongly recommended that you do not turn off the following infrastructure:

  • The Cisco router that connects your site to DoE
  • All switches and components in the main data cabinet
  • Your school’s eT4L Server and UPS
  • Apple Caching Server - if you have one
  • Connected Classroom cabinet and other VC units

If you turn these devices off, necessary updates will take place on your return to school and slow down your network access during the busy first days of Term 1 next year.

What to turn OFF and what NOT to turn off

What you should turn OFF Tip item

In many areas of NSW, Summer is lightning season. In order to protect your equipment over the long break, it’s a good idea to turn off the power point and unplug the following devices:

  • Computers (desktops/laptops) and monitors
  • Printers, projectors and other peripherals
  • Multifunction devices and copiers
  • Televisions

Term 1 Staff Development Day – turn on all your school computers so they receive security and Windows updates from your eT4L server so they are ready for use by students the next day.

St Ives North PS - Firestorm Peer item

The students in stage 3 at St Ives North Public School recently developed and completed a real-world STEM project that they called Firestorm. With the school and community located in a bushfire-prone area, the students focused on answering the key inquiry - how can the impact of bushfires on people and places be reduced? The students were presented multiple scenarios that required them to research, problem solve, design, create, test and present innovative solutions. They presented their concepts, website, simulations, 3D models and robotic solutions to an authentic audience, the NSW Rural Fire Service, its Commissioner and community members. The school was just announced as the winner of the 2017 Resilient Australia Award - Schools Category! Congratulations to everyone involved in this important and engaging school activity. Staff leaving your school? Tip item

As the end of the year approaches, it’s important to clean up access and permissions granted via AMU. Otherwise departing staff will continue to have access to your school’s resources at their new site.  This could include the ability to reset your student and staff passwords, access your eT4L file shares and be members of your school’s email distribution lists. It’s VERY IMPORTANT to remove these permissions BEFORE they start at their new school. Once they start at their new site, staff will disappear from your main AMU lists, but your granted permissions will remain for them. If they have disappeared from your AMU list, click the “View & Add Staff not at this site” link at the bottom of AMU to find them and remove their access from the various applets in AMU. If they are not shown there but have reported they still have access, an EDConnect call will need to be logged to have them removed from your site totally. Casual/ temporary/relieving staff that have left will need to have their access removed from the various applets in AMU, then removed from the “Casual – Search / Remove Staff” list in SMU.

Are YOU changing schools? Tip item

Your DoE user account is fully transferable and will work at your new school. But one of the traps that staff find when they move schools is that the contents of your personal home folder (U:) are not automatically transferred and stay behind on your old school's eT4L Server. As a result, when you sign in at your new school, you get a brand new U: drive which is empty! So how do you access your old home folder contents so that you can copy them to your new U:? Let's say for example that your DoE user ID is Meghan.Markle2 and that the school code of your previous school is 6482. Log onto any Windows PC at your new school, open Computer and in the address bar at the top, type in: \\detnsw.win\6482\staff\_Meghan.Markle2 - except, replace the school code and the user ID with yours. Take note of the _ before the user ID. It should open your old home folder and you can copy all the files and folders from there to your empty U: drive. Then delete the content from your old school's server.

eT4L core application updates Information item

As part of regular maintenance by ITD, the fleet of eT4L-built Windows desktops, laptops and tablets in schools will automatically receive Core Application Updates. These include:

  • Flash Player - 27.0.0.187
  • Air Runtime - 27.0.0.124
  • Shockwave - 12.3.1.201
  • Java - 8.151
  • CDBurnerXP - 4.5.8.6795

No action is required on the part of the school as all updates are delivered in the background. The deployment is scheduled for the afternoon of Tuesday, 12 December and will be progressively applied to all eT4L Windows PCs on the network.
