Introduction

Zoom video communication provides students with access to online and remote learning to support their education. Zoom provides their services with a commitment to managing data collected during a student’s use of Zoom.

What data is collected?

Use of the NSW Department of Education's Zoom service involves the collection of students' personal information and meeting metadata by Zoom, for the purposes of providing Zoom services to students. This is detailed in Zoom’s Privacy Policy.

This personal information synced from the department’s Single Sign On system includes the student’s email address, first name, last name and display name. Meeting metadata is generated each time students join a meeting.

How is the data used?

Zoom do not collect or use students' personal information and meeting metadata for behaviour analysis or other commercial purposes.

Zoom stores and processes personal information only to provide the Zoom services. The personal information is used to build the user's profile and to verify user access levels in Zoom. Meeting metadata is for the back-end system, to manage the meeting and generate logs for troubleshooting purposes.

Zoom does not use, access or collect this data for any reason other than to provide the Zoom services to users - in particular, Zoom will not use or disclose user data for advertising purposes.

As part of providing services, Zoom may also collect device information, log and location information as detailed in Zoom’s Privacy Policy. Zoom will only disclose this data at the direction of the NSW Department of Education or if compelled to do so by law.

Is the data secure?

Zoom is committed to protecting the privacy and security of all of their users, including students. Zoom has strong security systems in place to keep personal information protected, both in transit and at rest.

Zoom’s physical data centre access is restricted to authorised personnel, and multiple layers of physical security are implemented. Zoom personnel are only able to access user data in extremely limited circumstances, and subject to rigorous approval and oversight.

When is data deleted?

Zoom will remove all user and associated data from its systems 60 days after NSW DoE removes a user account from its system.

Where is the data?

For NSW Education Zoom service, user data is stored in data centres located in Australia.
